Our Structured 5-Step Process
We work with you systematically to build a clean, accurate file that consulate officers can easily examine and verify.
- 1. Purpose Mapping & Destination Choice
We start by analyzing your travel route to identify the correct country to apply through based on stay duration, and check your domicile jurisdiction for regional competent consulates.
- 2. Customized Checklist Delivery
Based on your professional profile (salaried, business owner, student, etc.) and travel route, we compile a specific checklist outlining every single document, stamp, and proof required.
- 3. File Preparation & Document Audit
Our experts review your bank statements, travel insurance, accommodation bookings, flight reservations, and invitations. We then draft a structured, professional cover letter explaining your profile, route, funding, and return ties.
- 4. Appointment Booking & Submission Prep
We guide you on booking biometric slots at the official collection facility or the embassy. Before your appointment, we organize all physical copies, sign forms, and run through a final preparation checklist so you're ready for biometric submission.
- 5. Consulate Processing & Passport Collection
The embassy examines your file. Once a decision is reached, your passport is returned via courier or in-person pickup. We will help you verify the visa sticker validity dates and entries before you depart.
How to Choose the Competent Consulate
Applying to the wrong Schengen embassy is a major cause of immediate counter refusal or visa rejection. According to the Schengen Visa Code (Article 5), you must file your application at the consulate of the country determined by the following hierarchy:
- Single Destination: If visiting only one Schengen country, you must apply to that country's consulate.
- Multiple Destinations (Stay Duration): If your trip covers multiple countries, you must apply to the consulate of the country where you will spend the longest duration of stay (measured in nights).
- Equal Stay Durations: If stays are exactly equal (e.g., 3 nights in France, 3 nights in Italy), you must apply to the consulate of the country which is your first port of entry into the Schengen zone.
- Regional Domicile Rule: Embassy jurisdictions in India are strict. For example, to apply in Delhi NCR, your passport, registration card, or employment certificate must prove you have resided in the North Jurisdiction (Delhi, Haryana, Punjab, etc.) for at least 6 months.
Profile-Specific Document Requirements
Your financial standing and return ties are evaluated based on your professional profile. Prepare the corresponding evidence block:
For Salaried Professionals
Provide last 3 months' salary slips, original employment contract, NOC letter from your employer's HR department (with original seal, signing officer details, and approval dates), last 3 years' Income Tax Returns (ITR-V), and last 6 months' salary bank statements carrying original bank stamps.
For Business Owners & Directors
Provide proof of business ownership (Certificate of Incorporation, GST Registration, Partnership Deed), company bank statements (last 6 months, stamped by the branch), company ITR for 3 years, and a cover letter written on official company letterhead detailing the trip purpose and funding.
For Retired Applicants & Dependents
Provide pension book or monthly retirement credit bank statements, proof of income from assets (rental yields, fixed deposits), or a notarized sponsorship letter (signed by a family member) accompanied by the sponsor's professional documentation, bank statement, and ID proof.
The Cover Letter: The File's Core Anchor
A Schengen cover letter is not a simple greeting. It is the core document that consulate officers read first to understand the logic of your trip. A successful cover letter drafted by our team details:
- Travel Motivation: A clear, logical explanation of why you are traveling to the Schengen area.
- Day-Wise Route Outline: A chronological list of dates, overnight destinations, and travel modes (trains, internal flights).
- Financial Structure: A detailed calculation showing how the trip will be funded (salary, savings, sponsorship) mapped against the daily maintenance index.
- Proof of Return: Direct references to your professional responsibilities, property holdings, or family dependencies in India to satisfy Schengen Visa Code Article 21 (intention to return).
Appointment Day at the Official Processing Center
You must submit your file and provide biometrics in person at the assigned outsourced visa application center (VAC). Here is the chronological walkthrough of the appointment day:
- Security Control: Arrive 15 minutes before your slot. Laptops, tablets, electronic car keys, and sealed bags are prohibited. Mobiles must be switched off.
- Dossier Verification: An agent checks your passport, application form, cover letter, and supporting documents against the consulate's official checklist. If files are missing, you may be asked to re-book or pay for premium printing services.
- Biometrics Capture: You enter a private booth to submit a digital facial scan and a 10-digit fingerprint capture for the Schengen VIS database.
- Fee Payment: Pay the consulate visa fee (€90/INR 8,100 equivalent) and the center's administrative service fee. Payments are accepted in cash or credit card depending on the branch.
Schengen Biometrics & VIS Exemption Rules
Your biometric data is stored in the Schengen Visa Information System (VIS) for a rolling period of 59 months. Understanding the exemption rules helps determine if your personal appearance is mandatory:
- Exemption Rule: If you have submitted biometrics for a Schengen visa within the last 59 months, you may be exempt from submitting them again. Your previous fingerprints can be copied directly from the VIS database.
- Exemption Categories: Children under 12 years of age, heads of state/government, and individuals with physical injuries preventing fingerprint capture are fully exempt from biometrics.
- Important Caveat: Embassies reserve the right to request fresh biometrics if the previous database capture is corrupted or unreadable.
Post-Submission: Sticker Checks & Border Control
Once your passport is returned with a visa sticker, perform the following validation checks instantly:
- VALID FOR: Typically reads 'SCHENGENER STAATEN' (Schengen States) or a specific country code.
- FROM / UNTIL: The exact date range during which you are authorized to cross borders.
- NUMBER OF ENTRIES: Reads '01' (Single Entry), '02' (Double Entry), or 'MULT' (Multiple Entries).
- DURATION OF STAY: The maximum number of cumulative days you are allowed to spend inside the Schengen territory within the validity window.
⚠️ Note: A visa sticker does not guarantee entry. Schengen border guards can request you to present copies of your cover letter, travel insurance, hotel bookings, and return tickets upon arrival. Keep these documents in your hand luggage.
