Tourism and Leisure document checklist
Use this as a practical document map. The final checklist should be adjusted to your destination country, appointment provider, travel history, employment profile, and sponsorship situation.
- Day-wise travel itinerary for every Schengen country on the route.
- Hotel bookings, tour confirmations, cruise reservations, or host arrangements.
- Flight reservation or intercity transport bookings.
- Leave approval, employment proof, business proof, or student NOC.
- Cover letter explaining trip purpose, route, budget, and return plan.
- Passport copy and previous visa copies, if any.
- Signed visa application form and appointment confirmation.
- Photographs as per Schengen specifications.
- Bank statements, ITRs, salary slips, sponsorship documents, or business financials as applicable.
- Travel insurance policy document.
- Flight reservation or transport plan.
- Hotel bookings, host proof, or accommodation confirmation.
- Cover letter explaining purpose, dates, route, funding, and return intention.
Passport Quality & Validity Standards
Your passport is the absolute legal identifier. Consulates apply strict rule checks on its condition:
- Validity Window: Must remain valid for at least 3 months beyond your planned departure date from the Schengen territory.
- Passport Age: Must have been issued within the last 10 years. Passports with 20-year validity or manual extensions are rejected by Schengen consulates.
- Blank Pages: Must contain at least two consecutive blank pages for visa sticker placement and entry/exit stamps.
- Physical Condition: The bio-page laminate must not be peeling, and the binding must be intact with no torn pages.
Biometric Photograph Specifications
Photographs that fail to meet Schengen standards are the leading cause of rejection at the submission intake counters. Your photo must follow these specifications:
Dimensions Exactly 35mm x 45mm width and height.
Face Coverage 70% to 80% of the frame (chin to crown measurement).
Background Must be solid light-grey or light-blue (pure white is rejected by some consulates).
Recency & Expression Taken within last 6 months; neutral mouth expression with eyes open.
Cover Letter Structural Blueprint
A cover letter is your voice in front of the visa officer. We help you structure it with 5 mandatory structural layers:
- 1. Introduction & Profile: State your full name, passport number, current employment status, and details of any travel companions.
- 2. Purpose & Route: Clearly explain why you are traveling (tourism, business meetings, visiting family) and justify why your primary country represents the main destination.
- 3. Day-by-Day Itinerary: List travel dates, cities visited, transport modes (train/flight), and names of hotels.
- 4. Financial Breakdown: Explain how the trip is funded (self-funded, sponsored, or corporate expense coverage) and reference your supporting financial documents.
- 5. Return Intent: Explicitly mention your strong ties to India, such as property ownership, family dependencies, or employment contracts, to guarantee your return.
Sponsorship Dossier Checklist
If another individual or entity is sponsoring your trip, you must submit a dedicated sponsorship pack containing:
- Sponsorship Letter: Signed declaration explaining the relationship and confirming they cover all travel, board, lodging, and repatriation expenses.
- Financial Proof of Sponsor: Last 3-6 months' bank statements (duly stamped by the bank) showing sufficient reserves, and their last 2 years' ITRs.
- Identity & Residence Proof: Copy of the sponsor's passport, government ID, or local residence permit if they live inside the Schengen territory.
What we audit before submission
- Date consistency across forms, hotel bookings, insurance, transport, and invitation letters.
- Financial logic across bank statements, salary credits, ITRs, business proof, and sponsors.
- Purpose proof that matches the Schengen category selected in the form.
- Country route and main destination explanation for multi-country trips.
- Cover letter clarity, document order, and appointment-day readiness.
